Choose QuickBooks Online if
- Your CPA already works in QuickBooks, which keeps year-end simple
- You want payroll in the same system as your books
- You need features like class and location tracking at scale
Choose Xero if
- Several people need access and you don't want to pay per user
- You prefer a simpler interface for day-to-day use
- You already use apps built around Xero
What matters more than the software
The system matters less than how it is set up and maintained. A well-built chart of accounts, connected bank feeds and a monthly reconciliation routine will give you reliable numbers in either one. A badly set up file gives bad numbers in both.
